RSDRF - Refundable Statistical Data Recovery Fee

Meaning:
In an efforts to continuously work on improving and keeping its educational integrity intact an educational institution needs to gather as much information and feedback from its graduates as possible to analyze and improve on the quality of education and administration. The RSDRF is a way for an educational institution get a feedback and interest graduates to actually take time and put an effort into bettering the institution they have graduated from.
As a result students are required to submit their information in regards to their post-graduate status, i.e. field of study exam information (certification/licensure), current employment information, salary, and so on.
The Student understands that he/she must deposit, upon enrolling into any program a Refundable Statistical Data Recovery (RSDR) Fee.
The fee will be refunded to the student once the student within a specified period of time has submitted the SDR (Statistical Data Recovery) Form(s).
A completed SDR Form must be submitted to the Administration of the Educational Institution, via fax, and/or mail or via web-interface. Student agrees that he/she will be refunded the SDR fee as outlined below within thirty (30) days after submitting the form(s). The student will be notified if there is any problem with the form (incorrect data, blank required boxes, too late/too
early submission, and such).
Statistical Data Recovery PROCEDURE
During the enrollment period a fee must be collected from the students. The fee, called Refundable Statistical Data Recovery Fee, in short RSDRF, (in the amount of $100) will be deposited into a separate account and will be refunded to the student once the student within a specified period of time has submitted the required Graduate Survey and Placement Data, in short GSPD.
RSDRF is refundable within 30 days after student has been terminated or withdrew from the program.

The RSDR Fee is not a part of the tuition; therefore it must be specified as an extra amount in the Enrollment Agreement, as well as with the Loan documentation, if the student wants to include this fee as a part of the Loan.
Each student must receive SDR Disclosure (statistical data recovery disclosure) (among all other disclosures given at the time of the enrollment) that has to be signed and dated. The disclosure can be found among the Student Folder General Disclosures.
During the enrollment the (AA) Administrative Assistant and (AC) Admission Couselor must explain the reasons behind the fee, and especially the fact that the fee is refundable once the student submits the fully filled out GSPD during specific period of time (after the 5th month of the graduation and before the end of the 6th months of the graduation). Student must submit the form between the 5th and end of the 6th month after graduation. If the student found employment earlier than the 5th month, student can submit the form earlier. In order to receive the full deposit students must fill out all of the questions. If the student is not employed and the 6th months is about to expire the student must submit the GSPD and specify the reasons why this hasn’t happened.
Upon graduation (can be done during the ordering and preparation for graduation ceremony period for the long-term programs (more than 12 months) ) and within 5th-6th month after graduation students must be contacted by Senior Administrative Assistant and reminded about the deposit. AA will be able to fax, email or mail the SDR Form to the student during the graduation. The form might be also available online to download. After the form has been filled out by the student and received by the Administration of the Academy, the student will be refunded the full amount within 30 days. The GSPD must be addressed to the Administrative Assistant and/or Admission Counselor. AA and AC must then cut the lower gray part of the GSPD sign and forward it to the Accounting Department.
Admission Counselor is also responsible for contacting those students who have not replied within the 6 months period. Each graduated student who has not provided the information within the specified time frame must be contacted by the AC (using email, phone or any other way of communication) at least twice to remind them about the GSPD and the deposit. The Academy will still be able to accept the data; however after six months of the graduation the RSDR Fee becomes non-refundable.

Once the data is collected the following must be done
• All surveys must be classified under programs.
• Each program director/ associate director and/or program manager must review each single survey, outline the deficiencies specified and present them on the next available faculty meeting as well as in next available Board Advisory Meeting to create a plan of correction. The summary of all of the surveys must be conducted using summary forms or the employee’s own summary form. Ex: Feedback Form - Summary of Graduate Surveys.
• Each program director/ associate director and/or program manager calculates the correct time to determine if the employer can be contacted for the Employer Survey. The employer can be contacted after the student has worked at least 3 months. The Employer Surveys must be completed within 3-6 (three-six) months after the student started working for that employer. Employer’s surveys will be also used with conjunction with Graduate Surveys to analyze the feedback, i.e. fill out the Feedback Form -Summary of Graduate Surveys.
• Admission Counselor collaborates with the Senior Administrative Assistant, as well as each Program Director, and within 7th month of the group graduation combines all the data into the SDR File. The SDR File is the Summary of all the data collected from graduated students (using different summary forms), which must be forwarded to the Campus Administrator by the end of 7th month of the group graduation.
• Based on the surveys (as well as other collection methods) AC with AA assistance must
- Fill out “Placement Record” form for each student and insert that form to each student folder - Appendix G
(Important: Placement Record must be filled out for those students who haven’t submitted their Surveys too).
- fill out the summary forms (must also include number of graduates, number of submitted forms, number of employed graduates, what happened to those who didn’t fill out the forms, the reasons behind not submitting the forms and so on)
• Once the Campus Administrator receives the SDR File, he/she is responsible to calculate each program’s rates. The SDR File must contain:
- Summary Forms from all Program Directors
- Summary Forms from AC/AA
- All the GSPDs (gray portion must be missing and already submitted to Accounting)
CA must then calculate based on the summary forms the placement, retention, graduation, earning and national exam passing rates. The Campus Administrator is responsible to calculate the rates and reflect them in the appropriate disclosures and submit them the CEO by the 20th of each March for the previous year. Starting from April 1st, prospective students must receive updated disclosures in regards to the previous year rates.
